Workplace Training Policy and Procedure

Purpose

The purpose of this procedure is to address requirements for organising, supervising and monitoring workplace training arrangements

Responsibility

The Managing Director is responsible for the implementation of this procedure and to ensure that staff and students are aware of its application and that staff implement its requirements.

Requirements

Workplace training will only be provided for students where:

· It must be undertaken to gain the qualification; and

· the RTO has appropriate arrangements for the supervision and assessment of students

· GMS Training Academy has mechanisms in place to monitor a student’s course progress and participation when undertaking workplace training.

· Memorandum of Understanding between GMS Training Academy and host employer which outlines purpose and conditions of work placements

· Student log book to record time spent and activities undertaken

Method

Workplace Venues

· Where students are required to undertake a period of work placement as part of their qualification, the RTO will arrange a placement with one of the approved venues with which it has an arrangement.

· Where students are already working in a suitable workplace, they may use this for their work placement contingent on approval by GMS Training Academy.

· GMS Training Academy will sign a Memorandum of Understanding with the employer which sets out the roles and responsibilities for each party, the work activities to be undertaken by the student, equipment to be used, hours and conditions of the work.

· GMS Training Academy’s trainer will conduct an orientation program with each workplace prior to acceptance of students. The orientation program will include the following:

o GMS Training Academy’s responsibilities to train students to acceptable standards, orientate students to the workplace placement, support students in the workplace, provide support to the students and monitor participation and progress

o Host workplace responsibilities to provide students with work in keeping with the requirements of the qualification and the training plan, to allow access to all appropriate equipment/resources, monitor and supervise student work, to record participation and to allow workplace visits and contact between the GMS Training Academy’s trainer or workplace training coordinator, the workplace supervisor and the student.

o Workplace venues will be monitored by GMS Training Academy to ensure they comply with the agreement. Compliance breaches may result in cancellation of the agreement.

Criteria for selection, approval and ongoing risk assessment of workplace sites

· The criteria for selection and approval for workplace sites requires an assessment of the capacity to offer the required work-shifts, the worksite being able to offer appropriate work activities to students in a safe working environment and an inventory of essential equipment. Workplace training sites must meet these requirements.

· Initial risk assessment of the site is implemented via a site visit, inspection of the site, interviewing of the workplace supervisor and the staff, providing any assistance and support required by the workplace supervisor and establishing that all the requirements of GMS Training Academy’s are met by completion of Workplace Suitability Checklist.

· Ongoing risk assessment of the site is implemented via a site visit, inspection of the site, interviewing the workplace supervisor and the staff, providing any assistance and support required by the workplace supervisor and establishing that all the requirements of GMS Training Academy are met. These site visits will be conducted every six months.

· Sites that do not meet the criteria will not be used by GMS Training Academy.

Induction

The Workplace Training Co-ordinator of GMS Training Academy will conduct an induction program for each trainer which will include orientation to the following:

· Conducting assessments in the workplace

· Monitoring and reporting attendance

· Liaising with the workplace supervisor

Monitoring progress and participation

· GMS Training Academy trainer is responsible for all aspects of the monitoring process

· Participation will be monitored and recorded on each visit and forwarding all information, documents and records to GMS for inclusion in the student files.

· A check will be made with each workplace by the GMS trainer on a regular basis to verify student attendance, participation and progress.

· Progress will be monitored by checking students have undertaken the required workplace activities over the period of the work placement.

· Where the above requirements are not met the student will be required to undertake additional work placement to ensure progress and learning are progressing satisfactorily.

Workplace Training Co-ordinator

The role of GMS Training Academy Workplace Training Co-ordinator will be as follows

· GMS Training Academy’s Workplace Training Co-ordinator will conduct and complete a facility check on each work site twice a year.

· GMS Training Academy’s Workplace Training Co-ordinator will meet with each student and contact their workplace supervisor before commencement of the placement.

· Once the placement has commenced GMS Training Academy’s Workplace Training Co-ordinator will contact each worksite at least once per fortnight to monitor student participation and performance.

· GMS Training Academy’s Workplace Training Co-ordinator will provide advice on student requirements to the Workplace Supervisor as required. The Workplace Training Coordinator will spend time with the Workplace Supervisor to address any issues that may have arisen as well as assisting the supervisor to adequately undertake their role in supervising the student.

· Where GMS Training Academy’s Workplace Training Co-ordinator identifies that a student is not receiving the required level of experience they must implement corrective action to remedy the situation. This corrective action could include arranging different times/shifts, changing the mix of duties or arranging an alternative workplace.
